Manager, Maintenance Analytics
The Manager of Maintenance Systems is responsible for owning, analyzing, and continuously improving maintenance and fuel-related data, systems, and reporting across asset entities. This role serves as a critical analytical partner to Maintenance, Fuel, Accounting, and Executive Leadership by transforming complex operational and financial data into accurate reporting, actionable insights, and forward-looking trend analysis. The role requires strong judgment, advanced analytics capabilities, and the ability to identify anomalies, diagnose root causes, and proactively recommend corrective actions
Responsibilities
- Analyze daily and monthly fuel cost trends across multiple dimensions, including vendor, network, geography, equipment type, and customer.
- Monitor and report TA/Petro contractual commitment percentages, ensuring compliance with minimum purchase requirements; proactively identify negative trends and partner with Fuel/T1 and Operations teams to correct utilization gaps.
- Actively monitor fuel network compliance, identify risks or inefficiencies, and provide recommendations to optimize network usage and maximize rebates.
- Calculate monthly estimated fuel rebates for Accounting, support accurate accruals, and audit actual rebates received to ensure contractual accuracy and completeness.
- Receive and audit weekly direct-bill fuel invoices for pricing accuracy, volume accuracy, and proper allocation by company or Comdata customer ID.
- Maintain oversight of all bulk fuel locations, including tracking inventory levels, valuation of fuel on hand, and month-end reporting to Accounting.
- Partner with Comdata to ensure accurate fuel tax reporting by truck and state, applying professional judgment to resolve discrepancies.
- Investigate and resolve anomalies such as fuel purchases without corresponding mileage, incorrect state reporting, or customer exceptions.
- Review all preliminary IFTA reports, make necessary adjustments, and provide final approval for submission.
- Produce monthly financial and cost analytics reporting for assigned business units, including cost-per-mile (CPM), lifetime maintenance cost, lifetime fuel efficiency (MPG), and total cost of ownership by year, make, and model.
- Lead the redesign and modernization of all fuel and maintenance reporting, transitioning from fragmented spreadsheets into streamlined Excel models (pivot tables, power queries) and/or BI platforms such as Power BI or Domo.
- Maintain and evolve reporting tools in response to changes in fuel networks, vendor pricing structures, rebate programs, freight costs, and coding requirements.
- Analyze variances and trends; identify when metrics fall outside expected ranges and proactively communicate potential drivers and hypotheses to leadership.
- Design and deliver ad hoc analytical reporting in Excel, Power BI, Domo, or similar tools to support executive and operational decision-making.
Knowledge, Skills, and Abilities
- Advanced analytical and quantitative skills with the ability to interpret complex operational and financial datasets.
- Advanced knowledge of Microsoft Office suite of products; specifically a high degree of proficiency in Excel (pivot tables, advanced formulas, data modeling).
- Working knowledge of Power BI, Domo, or similar analytical tools preferred.
- Exceptional attention to detail.
- Strong communication skills with the ability to translate technical data into clear insights for non-technical stakeholders and executives.
- Ability to manage competing priorities in a high-paced environment.
- Ability to operate with ambiguity within an ever-evolving landscape.
Education/Experience
- Bachelor’s degree in Business, Finance, Analytics, Supply Chain or related field required. 1 year of relevant work experience may be substituted for each year of education required.
- 3+ years of experience in analytics or similar experience required.
- Experience within maintenance systems, fuel management, transportation, or financial operations preferably.
- Logistics Industry Experience highly desired.

The posted range reflects the full pay band for the position. The expected pay range below represents where most candidates are hired, based on experience, skills, and internal equity. Candidates with more extensive or highly relevant experience may be considered toward the higher end of the overall pay band.
- Expected Pay Range: $64,535.00-73,408.16
- Full Pay Range: $64,535.00-$101,270.00
