Onboarding Lead
The Onboarding Lead is responsible for overseeing and supporting the end-to-end onboarding process for new professional drivers to ensure timely, accurate, and compliant activation. This role serves as a key liaison between applicants, internal departments, and onboarding team members, ensuring all regulatory, safety, and company requirements are met.
Responsibilities
- Responsible for communicating with the applicant to get all information needed to complete their Driver Qualification file (employment info, documentation, etc.) for company and owner operator/ lease purchase/ change overs
- Maintain timely and ongoing communication with applicants to guide them through the onboarding process and ensure timely submission of required materials.
- Review each application thoroughly to ensure it is 100% accurate and complete, including all required attachments such as MVRs, safety performance histories, and prior employment verifications.
- Utilize onboarding and applicant tracking systems to manage driver applications, track progress, and maintain digital documentation.
- Follow department standard procedures, including use of identified technologies and methods for obtaining accurate and complete previous employment verifications for 3 years, and comply with the FMCSR requirements.
- Organize and ensure all needed paperwork is in each applicant’s file prior to activation.
- Ensure all onboarding practices meet Federal Motor Carrier Safety Regulations (FMCSR) and company policies.
- Input and update data with a high degree of accuracy to support reporting and compliance tracking.
- Ensure all required paperwork and digital documentation is correctly filed, organized, and uploaded into the driver management system before driver activation.
- Mentor and train new onboarding team members on company policies, FMCSR requirements, and best practices for processing Driver Qualification Files accurately and efficiently.
Knowledge, Skills, and Abilities
- Excellent communication skills, oral and written

- Must be able to quickly and accurately enter large quantities of data
- Time management skills
- Proficient in Microsoft office suite, specifically Word, Outlook and Excel
- Ability to work in fast-paced environment independently and as team player
- Ability to learn other functions and backup others.
- Working knowledge of FMCSR and DOT regulations
- Ability to maintain confidentiality and professionalism in handling sensitive applicant and driver information.
Education/Experience
- High School diploma or GED required
- At least 1 year of experience in driver onboarding, recruiting, or compliance within the transportation industry required.
- Previous customer service experience a plus
